The position Surgery Scheduler will interact with patients, insurance companies, employers, pharmacies, hospitals, doctor’s offices, and suppliers by phone, fax, or face-to face. The Surgery Scheduler will also coordinate surgeries being performed by Coordinated Health surgeons. The Surgery Scheduler will meet with patients to schedule surgery, make appointments for labs, EKG, and classes, and verify insurance benefits for surgery. The Surgery Scheduler coordinates the surgeon’s schedules and provides surgeons with needed materials for surgery.

General Responsibilities:

  • Prompt, friendly greeting of surgery patients.
  • Select appropriate date and location for surgery based on the specifics of surgery scheduling work sheet and the surgeons schedule.
  • Schedule surgery according to facility requirements.  
  • Review surgical procedure and pre and post-operative instructions.
  • Review consent for surgery with patient.
  • Obtain patient signature and witness consent.
  • Review blood consent with patient.
  • Obtain patient signature and witness consent.
  • Schedule pre-operative testing, medical clearances, classes, pre or post-operative Physical Therapy, and post-operative follow-up visits. 
  • Provide patient with surgical packet to include Clinical Summary, Pre/Post surgery appointments, and contact information.
  • Provide Total Joint surgical patient with information on antibacterial wash procedure.
  • Provide patient with prescription for post-operative medication.
  • Timely scheduling of surgical procedure in Practice Management (PM) system.
  • Timely forward of surgical information to appropriate facility contact via courier, FAX, or electronic submission. 
  • Contact product vendor to request equipment for surgical case.
  • Resolve equipment/material concerns. 
  • Obtain prior authorization for surgery and DME via telephone or electronic submission.  
  • Enter prior authorization into PM system.
  • Enter appropriate “slippage” into PM system for surgical procedure performed external to CH facility.
  • Obtain pre-admission testing results and medical clearance no longer than 3-days post scheduled appointment. 
  • Forward to Provider for review and signature.
  • Scan surgical paperwork into patient EHR.
  • Acts as liaison between patient, Provider, and ancillary facilities.

  • Must have knowledge of the procedures used to schedule surgery.
  • Must have knowledge of physician’s typical surgery requirements.
  • Must have strong customer service skills.
  • Must have strong problem solving skills.
  • Must be skilled in paying attention to small details.
  • Must effectively use practice management system.
  • Must have the ability to learn the practice management system.
  • Must be able to effectively prioritize and work on multiple tasks at once.
