JOB SUMMARY

Talent Management (30%)

  • Once selected, become point of contact for new/potential employee, providing a thorough access for questions and assist with early onboarding to BGCHC
  • Provide same point of contact as above for internal promotions, laterals, redeployments.
  • This point of contact function will manage employment paperwork, gathering and disseminating information in a timely manner and informing appropriate supervisors and other departments of necessary information to prepare for the employee’s new role.
  • Provide weekly list of new/promoted/laterally moved employees to the CPO office.
  • Manage and maintain BGCHC Organizational Charts and Staff Structure.
  • Oversee and ensure all employment related files are maintained according to Laws and BGCHC’s Retention Policy.
  • Remain aware of trends in Employee Relations functions, providing recommendations for enhanced efficiencies and effectiveness as warranted.
  • Creates/Reviews performance reviews for positions YDP, Accountant Assistant, Volunteer/Marketing events Coordinator and Front Desk positions.

Project Management (30%)

  • Administer surveys for candidate experience (given to all new employees) at 30 days and 6 months. Provide tracking, follow-up, analysis and quarterly summaries for HR Indicators.
  • Administer surveys with supervisors to obtain quality of hire and hiring process feedback. Provide tracking, follow up, analysis and quarterly summaries for HR Indicators.
  • Assist with preparing the budget with CPO and Finance Manager
  • Manage BGHC Annual Background Check process in collaboration with supervisor, and Director of Operations
  • Manage Employee Referral Program.
  • Provide job description support for consistency in formatting and file maintenance. Point out concerns in content as applicable.
  • Develops local communication plan for Universities and Colleges Internship Programs and volunteers

Employee Relations (25%)

  • Serve as point of contact for exiting employee; confirm and announce resignations, and schedule exit interviews within 24 hours.
  • Review, research, and recommend any changes to current exit interview documents.
  • Provide analysis of exits and quarterly summaries.
  • Provide “right hand” assistance with all disciplinary actions and/or employee relations issues and concerns.
  • Assist with departmental restructures, etc. Ensure final documentation is obtained and appropriately filed/maintained.

Administrative duties to the CPO (15%)

  • Records Minutes for weekly management meetings
  • Records Minutes for Monthly Board Meetings
  • Send out reminder and minutes for monthly board meeting to the Board of Directors
  • Creates Board Agenda with CPO and CVO and send out Board Meeting agenda prior to board meeting
  • Collect lunch money fee at monthly board meetings from the board of directors $5.00
  • Collaborates with Finance Manger on Payroll/HR functions as needed and required. • Keeps calendar of CPO and meetings schedules
  • Update Paycom ensuring all employee information is updated and entered in paycom.
  • Order lunch for monthly board meeting
  • Maintain up to date board list and board structure
  • All other duties as assigned.
  • Performs regular secretarial duties, preparing correspondence and reports as requested and composes draft letters following established formats. Proof reads all materials for accuracy prior to supervisors review and signature.
  • Answers telephones, providing general information, referring callers to other staff or taking messages as necessary.
  • Maintains filing system, relative to this position making sure they are accurate and timely and facilitate easy retrieval of information
  • Maintain board profile information
