JOB SUMMARY

·         Plan, create and implement existing and new programs and activities that meet the needs of the organization, its members, the long-term goals of BGCA, and stimulate interest in our agency.

·         Oversee the recruitment of youth for our programs and ensure above average daily attendance goals are maintained or exceeded.

·         Recruit, select and present to the Chief Executive Officer and/or Human Resources Manager for approval, potential program employees for the staff. Lead bi-weekly key staff meetings. Approve and manage PTO for program staff. Conduct annual performance reviews for program staff with the input of the Human Resources Manager.

·         Supervise Key Directors and/or other specially assigned staff. Meet every 3 to 4 weeks with them on an individualized basis to mentor and monitor their work.

·         Submit reports when, and as required, by the Chief Executive Officer, the Board of Directors, Boys & Girls Club of America (i.e. annual report, impact assessment, federal grant reports and the spring National Youth Outcomes Initiative computerized survey), United Way of the Greater Lehigh Valley (i.e. mid-year reports, yearly evaluation and request for proposal applications), Allentown Housing Authority monthly reports for Little Lehigh and Cumberland Gardens; Second Harvest Food Bank reports; and any other government and community reports.

·         Review and handle all incident and accident reports. Meet with parents regarding disciplinary actions and/or set up behavioral contracts. Ensure buildings that BGCA owns have annual inspections (fire, sprinkler, etc.) that pass without any infractions. When building alarms go off on evenings or weekends speak to the alarm company and / or meet with the police department at the Club as needed.

·         Oversee and develop the special program events that occur during the national Boys and Girls Club Week each Spring and the National Day for Kids in the fall.

·         Responsible for submitting articles as assigned for the website

·         Assist with planning the budget with the Executive Chief Executive Officer for approval and presentation to the Executive Committee, Audit & Finance Committee, and Board of Directors.

·         Ensure compliance with all financial regulations and requirements as assigned of government contracts and program grants.

·         Assist in the development of grants with our contracted Grants Writer. Work directly with Grant Writer on reimbursements and mid-year / final grant reports particularly Office of Juvenile Justice and other grants.

·         Review all insurances and bids and recommend vendors to Boys & Girls Club of Allentown. Submit all insurance paperwork for any claims.

·         Assist with resource development projects (i.e. Annual Dinner, Golf Tournament, Corner Store Country 5 K Fun Run, Andre Reed Golf Tournament) and establish a cooperative relationship with other private and public organizations.

·         Purchase, or approve the purchase of supplies according to procedures established by the administrative office.

·         Assist in the management of all facilities and program operations of the Boys & Girls Club of Allentown. Routinely visit Club sites and monitor program activities.

·         Oversee the I Station and Kid Trax Systems computer software programs.

·         Direct Youth of the Year competition and oversee the Scholarship Committee. Submit all candidates to the appropriate Committee. Write letters to candidates and coordinate scholarship payment upon receipt of grades. Coach Youth of the Year candidate in preparation for the annual state competition and attend the competition with the candidate.

·         Act as the Assistant Treasurer for the Foundation Board and submit all financial reports and minutes. Review Director and Officer Insurance and makes any recommendations.

·         Complete yearly applications for Second Harvest Program; PennDot billboard; Career link, etc.

·         Responsible for the annual Holiday Adopt a Family Program including all family stories for the donors, pictures, thank you cards and other facets of the program.

·         When authorized, assume the responsibility and duties of the Chief Executive Officer in his/her absence.

·         Perform other duties as assigned.

 

Requirements

KNOWLEDGE/SKILLS REQUIRED

·         A degree from a four year accredited college in a field related to operations and programs is preferred.

·         A minimum of five years of experience within the Boys & Girls Club field and/or experience in the field of program management is required.

·         Has the ability to relate to members, parents, staff, business people, community leaders and the public in general. Able to lead and mentor staff members.

·         Clearances less than 12 months old and valid driver's license.
