JOB SUMMARY

Under the direct supervision of the Vice President of Operations, the Administrative Assistant has the general responsibility of the reception area and provides support to the Administrative Office staff.

 

Key Roles (Essential Job Responsibilities)

·         Working knowledge of basic clerical duties including typing, filing, creating and maintaining electronic and paper forms, answering phones, and greeting visitors.

·         Processes and distributes mail.

·         Posts payments into donor database and prepares thank you notes.

·         Prepares deposits for Finance and batch reports for Development.

·         Assists with event registration and payment processing.

·         Processes credit card transactions and reports for Finance.

·         Performs Notary services for organization.

·         Maintain records of board participation/attendance.

·         Records and types minutes from board meetings.

·         Distributes periodic reminders to board/committee members on important events.

·         Handles logistical arrangements for staff/board to attend conferences.

·         Distributes faxes, email, and voicemail to appropriate staff.

·         Orders and maintains office supplies, envelopes, name badges, trophies, postage, food for meetings (pick up/delivery as needed), and refreshments for office kitchen.

·         Performs other clerical duties and responsibilities as assigned by the Vice President of Operations.

 

Supervision

·         Does not supervise others.

Must have a high attention to detail and possess the ability to work in a fast-paced environment while meeting deadlines. Demonstrated verbal and written communication skills are a must, along with the ability to work independently and manage multiple tasks in an efficient manner.

 

Requirements

KNOWLEDGE/SKILLS REQUIRED

·         High school diploma or equivalent, plus two years of business education and/or previous administrative experience.

·         Working knowledge of Microsoft Office programs, including, but not limited to Word and Excel. Previous experience with database management software a plus

·         Working knowledge of Microsoft Outlook email and calendar programs.

·         Ability to maintain strict confidentiality.

·         Experience with DonorPerfect a plus.
