JOB SUMMARY

The Chief Operations Officer (COO) provides the vision, leadership, and management necessary to ensure the organization has the proper operational controls, administrative and reporting procedures and other systems in place to effectively manage and grow the organization while ensuring financial strength and operating efficiency.

 

Key Roles (Essential Job Responsibilities)

Leadership

  • Ensures the BGCS vision and mission are defined, understood, communicated and adhered to throughout the organization.
  • Provides leadership and direction to the development and implementation of organizational program and operational goals to facilitate achievement of Youth Development Outcomes.
  • Leads the collaboration with senior management team to develop and implement plans for the organizational infrastructure of systems and processes; to include but not limited to budget development, personnel matters, revenue and grant development, community relations, communication, marketing and branding.
  • Manages performance of assigned employees/functions in achieving goals, providing direction in program design, resource development, community relations and program operations.
  • Responsible to ensure member and employee safety procedures and compliance.

 

Strategic Development

  • Provides guidance and resources to the President and Board on the development and implementation of the strategic plan and organizational goals.  Ensures that the strategic plan and organizational goals are understood and cascaded through the organization.
  • Motivates and leads the senior management team to achieve strategic and operational goals.
  • Supports successful interaction and cross functions of Support Services including Resource Development, Human Resources, and Finance departments. Supports the establishment of strategies that examine approaches that achieve goal accomplishment for all departments simultaneously.
  • Plans, develops, implements, directs and evaluates innovative and creative approaches in the area of youth development programming, budget, staff development, program quality, efficiency and safety throughout the program departments.
  • Continually assesses the overall program effectiveness on the basis of participation and achievement of stated goals, make recommendation to CEO for process improvement and direct the implementation of approved recommendations.
  • Responsible for the measurement and effectiveness of operational and processes internal and external.  Ensures timely and accurate reports on the operating condition of the organization.
  • Manages operational and programmatic processes; ensures best practices are in place.
  • Manages performance of staff in achieving goals, providing direction in program design, resource development, community relations and program operations.  Ensures the timely and effective execution of the performance management systems, including a staff development and training program as part of an overall succession plan.  Grow and develop the total organization into a highly performing, results focused organization.

 

Financial Management

  • Works cooperatively with the CFO in the development and execution of agency budget; monitors and reports variances in revenues and expenditures.  Recommends appropriate action to assure that agency operates within approved budget and available resources.

 

Marketing and Public Relations

  • Ensures activities are held to a high standard to maintain positive public relations for Club programs, services and activities in conjunction with Marketing/Development plan for the organization.
  • Board Development
  • At the direction of the President, provides timely and accurate information and support to the Board of Governors.
  • Provides leadership to strengthen Branch Board development including overseeing the associate board and committee support, as assigned.

 

Partnership Development

  • Develops collaborative partnerships with other youth serving organizations, members, parents, families and community organizations.

 

Additional Responsibilities

  • Other duties as an assigned by the President.
Requirements

KNOWLEDGE/SKILLS REQUIRED 

  • Bachelor's degree from an accredited college or university; Master’s degree preferred.
  • A minimum of fifteen (15) years of progressively more responsible work experience including operations and programmatic experience.
  • Previous operations or programmatic management experience in a multi-location organization, with a minimum of three (3) years at the senior management level.
  • Considerable knowledge of:  the mission, objectives, policies, programs and procedures of Boys & Girls Clubs; and the principles and practices of non-profit organizations.
  • Comprehensive analytical, strategic thinking and rapid problem solving skills with the ability to independently and pro-actively anticipate and identify operational needs and opportunities.
  • Proven level of creativity and problem solving ability.  Demonstrated examples of managing through crisis, redesigning to enhance productivity, efficiency and/or effectiveness and new program design/development a must.
  • Ability to work with and influence people across the entire organization and stakeholders.  Ability to communicate within all levels of the organization.
  • Ability to remain objective, not letting emotions or strengths of others’ personalities cloud judgment or vision.
  • Ability to drive decision making with tact and candor that sustains organizational change.   
  • Proven thought leader in field of Youth Development.
  • Strong budget creation and management skills and the ability to develop reasonable projections that include fiscal, operational and programmatic benchmarks.
  • Demonstrated ability to organize, direct, and coordinate operations; in personnel supervision, the recruitment and retention of key personnel; facilities management and budget management.
  • Demonstrated ability to organize, direct, and coordinate operation functions.
  • Strong communication skills, both written and verbal.  Ability to speak publicly, communicating information and gaining buy in from others.
  • Ability to manage multiple tasks and develop solutions to problems and to help other develop solutions to problems.
  • Leadership skills that evoke support and confidence dealing effectively with conflict and engaging others to excel.
  • Ability to establish and maintain effective working relationship with club staff, Board members, community groups, administration staff and senior management team.
  • Thorough understanding of board development and best practices for board engagement.
  • Knowledge of computer software programs.
  • Must have a valid AZ driver’s license, good driving record, and meets state required automobile insurance minimums.
