Mission Statement

The mission of the Boys & Girls Club of Santa Ana (BGCSA) is to promote the positive and healthy development of youth, especially from disadvantaged circumstances, by providing services in a safe environment that build the skills, civility and self-confidence necessary to succeed in a competitive world.

 

Primary Function

The Boys & Girls Club of Santa Ana is one of the most innovative, fast-paced and premier non-profits in Orange County and we are looking for an A-PLAYER to join our dynamic team. We are a highly effective, result-driven, and mission-focused organization in need of a high functioning, energetic, organized and committed professional to fill the critical role of Director of Finance. There are some very big shoes to fill as our current A-PLAYER Director of Finance transitions into retirement and as we prepare the organization for expansion over the next few years. As our newest A-PLAYER, you will lead the Finance Department, be held accountable to the highest standards, work closely with the Board of Directors, work in partnership with the CEO, and serve as key member of the executive team. The work we do is very important and we only have room on our team for A-PLAYERS who are committed to our mission and are willing to make our Club a high priority. EVERY member of our team plays a critical role to the success of our Club and as Director of Finance, this A-PLAYER will directly impact the strategic direction and fiscal strength of the organization. As Director of Finance, this A-PLAYER will be a key member of the team and will ensure efficiency of the organization, fiscal responsibility, strategic planning, and support the overall success of the Club.

 

Key Roles

Finance & Accounting

·        Lead the day-to-day functions of the Finance Department with a constant effort to increase the efficiency and productivity of the organization.

·        Manages a part-time Accounting Associate and oversees their functions of payroll, accounts receivable, accounts payable, check requests, etc.

·        Produces and analysis financial reports and dashboards that assess the financial strength of the organization, tracks financial performance, projects trends, and supports the general day-to-day operations of the Club.

·        Oversees policies and procedures for all financial management functions, ensuring all appropriate controls are in place and there is compliance with generally accepted accounting practices.

·        Oversees the process of policy renewals for all insurance coverage

·        Manages all finance operations including: accounting, payroll, financial operations, human resources, property management, employee benefits, audit, insurance coverage and legal.

·        Manages relationships with key partners such as banking institutions, human resource services, insurance partners, auditors, payroll processing, etc.

 

Strategic Planning

·        Collaborates with the Chief Executive Officer and Board of Directors to develop the annual operating income and expense budget for the Club and oversees the fiscal accountability of the BGCSA Foundation.

·        Regularly assess the financial strength of the organization, actively pursue opportunities for efficiencies, provide support to the CEO when evaluating new opportunities or solving problems.

·        Works closely with key staff to:

o   Ensure there is a culture of fiscal responsibility and transparency across all sites

o   Ensure there is effective communication and systems for fiscal accountability

o   Coordinate quarterly financial analysis sessions with key staff members to ensure effective budget management

o   Provide training and support to key staff to ensure controls and financial procedures are in place

·        Oversees the process of identifying and evaluating opportunities for improved financial operations, record keeping and reporting, working with the external auditors to prepare and review the audit schedules and annual report of audit findings.

·        Support the process of developing an annual operating budget and supports the annual strategic planning session.

 

Resource Development

·        Seeks and secures financial support and resources by managing:

o   All assets and investments of the Boys & Girls Club of Santa Ana, including real property, equities, bonds and other assets.

o   Supports all fundraising strategies, donor relations, and overall resource development plan.

·        Supports the Resource Development Department by maintaining close communication with the Director of Development and by providing financial reporting to grantors requiring financial activity reports for reimbursement purposes to club.

·        Leads organizational planning and development of operating and fund account budgets and control expenditures against budget.

·        Ensures the maintenance of financial records and recordkeeping systems to ensure compliance with all regulations, generally accepted accounting practices and contractual requirements.

·        Ensures a productive work environment within the finance and accounting function.

·        Provides career development opportunities for staff and volunteers working within the finance and accounting function.

·        Maintains transparency and a strong donor centric philosophy in support of our donor engagement strategy.

·        Communicates effectively with staff, Board of Directors, partners, and key donors.

 

Performance Objectives – Deliverables

·        Adopting the Culture and acclimating to the BGCSA: Immediately evaluate and take ownership of all aspects of the Director of Finance position and general operations of the BGCSA.

o   Participate in on-the-job training with the current Director of Finance

o   Become familiar with policies and procedures of the BGCSA

o   Meet with and become familiar with the key staff, Board of Directors, and key partners

o   Become familiar with the day-to-day functions of the Finance Department

o   Identify key strengths, weaknesses, opportunities and challenges with regards to the Finances of the BGCSA. Within 90 days, deliver a summary report of your research, conclusions and plans for operations. This summary report should identify and assess current and past strategies.

·        Recruit/Screen/Hire someone for the role of Accounting Associate: With the support of the CEO, you will oversee the process of recruiting and hiring an Accounting Associate.

o   Once hired, you will mentor and coach the Accounting Associate

o   Manage and oversee the workload assigned to the Accounting Associate. Within 60 days, become proficient with the Accounting Software and take ownership of day-to-day usage.

·        Become proficient with Accounting Software & Procedures: Immediately evaluate and take ownership of all aspects of the Accounting Software.

o   Become familiar with software and participate in any necessary training.

o   Become proficient in recording transactions and generating reports as needed. Within 45 days, become proficient with the Accounting Software and take ownership of day-to-day usage.

 

Additional Responsibilities

·        Participates in training, webinars, workshops and professional development as requested.

·        Manages and administer employee benefit programs including 401k, health, dental, short term disability, long term disability and life insurance plans.

·        Maintains all personnel and payroll records.

·        Participates in key community groups, attend key community events, and support key BGCSA events or initiatives.

·        Trains club and site managers in proper procedures regarding cash receipts, accounts payable, accounts receivable and budgeting as needed or requested.

·        We expect you to have earned a bachelor’s degree in finance or accounting and have relevant work experience in the area or finance.

·        You should have a strong business acumen, a track record of success, and a thorough understanding of accounting practices and finance administration.

·        As a wish list, it would be great if you had advanced education such as CPA or MBA.
